This policy explains what information KarLux collects, how it is used, and the choices you have. KarLux is operated by Karl Detlefsen as a sole proprietor ("KarLux", "we", "us").

Who this policy covers

KarLux provides AI phone receptionist services to businesses ("clients"). This policy covers clients who sign up with us, and people who call a phone line answered by a KarLux receptionist ("callers").

Information we collect

From clients: name, business name, mobile phone number, email address, and whether you have agreed to receive text messages.
From callers: the phone number you call from, the details you give the receptionist (such as your name, callback number, email address and reason for calling), and a recording and transcript of the call.
From this website: the details you type into our sign-up form.

How we use information

To answer calls, take messages and book appointments on a client's behalf.
To send clients a summary of each call by email or, if they have opted in, by text message.
To set up, run, support and improve the service.
To meet legal obligations.

Text messages (KarLux Call Alerts)

If you sign up for KarLux Call Alerts, we use your mobile number to send you account notifications about calls and messages handled by your receptionist. Message frequency varies with your call volume. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Mobile opt-in information is never shared with third parties or affiliates for marketing or promotional purposes.

Who we share information with

We share information only as needed to run the service:

The client you called. A caller's message, details and call summary are passed to the business they were calling.
Service providers that carry out the service for us, such as telephone carriers, AI voice and transcription providers, calendar and scheduling tools, and email and text delivery providers. They may use the information only to provide their service to us.
Authorities when the law requires it.

We do not sell personal information.

Call recording

Calls answered by a KarLux receptionist may be recorded and transcribed so that messages can be passed on accurately.

How long we keep information

We keep information for as long as it is needed to provide the service to a client and to meet legal requirements, and then delete it.

Your choices

Stop text messages at any time by replying STOP.
Ask to see, correct or delete the information we hold about you by emailing us at the address below.

Changes to this policy

If we change this policy we will post the new version on this page and update the date at the top.
